Expanding resort locations across the US

Four Points RV Resorts is a rapidly scaling hospitality and real estate development firm that grew from a single location in 2019 to seven locations and 14 entities across the US. According to CMO / CTO Matt Van Der Molen, as the company grew towards $11 million in annual revenue, leadership found themselves “building the rocket ship while flying it.” With their original QuickBooks Online setup, leadership found themselves hindered by a manual back-and-forth workflow of intercompany transfers and a reporting process that took up to two weeks to produce usable documents. Managing 14+ entities with manual spreadsheets

For Van Der Molen, the main obstacle to growth wasn't market demand, but hitting the limitation of QuickBooks Online and being bogged down “by navigating a thousand and one spreadsheets.” As the company expanded to 14 entities, the lack of a unified system meant that simple intercompany transactions had to be handled with a higher level of expertise necessary. “It added layers of complexity that were a massive time suck,” Van Der Molen notes, where the team spent up to ten hours just on chart of accounts cleanup.

To manage the chaos, the firm hired external help, but still faced challenges managing data. The team spent “25 percent of the time looking at data and 75 percent teaching consultants the industry,” says Van Der Molen.

Internally, the data was so fragmented that a consolidated report often ran 30 pages long because “nothing matched across entities.” With a summer peak staff of 250-300 people, the corporate team of 12 was drowning in manual entry, processing hundreds of invoices weekly on a system they had clearly outgrown.

Four Points initially evaluated traditional ERP vendors, including NetSuite and had begun looking at Sage. However, demos revealed “worrying deficiencies,” particularly in ease of use. The cost of these vendors was also “multiple times more than our existing spend,” says Van Der Molen. Adding a 90-plus-day implementation on top of everything else, leadership was extremely reluctant, but knew they had to do something.
